Position: Service Manager Assistant
Location: Donna, Texas - Rio Grande Valley
Job Type: Full Time
Schedule:
- 8 hour shift
- Weekends as needed
We’re looking for a dependable and detail-oriented Service Manager Assistant to help our service department run smoothly and
efficiently. The Service Manager Assistant will support the Service Manager with day-to-day operations, including scheduling
repairs, coordinating with technicians, tracking work orders, and communicating with customers. This is a fast-paced, hands-on role
that requires strong organization, follow-through, and customer service skills.
Job Responsibilities:
- Assist with opening, updating, and closing work orders in the system (Salesforce or similar).
- Schedule and assign repairs and maintenance tasks to technicians.
- Track parts availability and work closely with the parts department.
- Monitor technician progress and update job status in real time.
- Coordinate service calls, field repairs, and shop work.
- Communicate professionally with customers regarding updates, timelines, and approvals.
- Help with warranty claim documentation and submission.
- Maintain accurate service records, customer history, and equipment files.
- Follow up on outstanding work and ensure timely job completion.
- Support the Service Manager in managing daily workflow and technician performance.
Qualifications:
- 1–3 years of administrative, dispatch, or coordinator experience, preferably in a service-related environment
- Strong organizational skills and attention to detail
- Excellent communication skills (written and verbal)
- Ability to multitask and prioritize under pressure
- Proficiency with Microsoft Office and experience using a CRM or service platform
- Team-oriented and dependable
- Experience in a heavy equipment dealership, repair shop, or rental company
- Familiarity with JCB or similar equipment is preferred
- Salesforce or equipment service software experience
- Bilingual (English/Spanish)
